Position Summary:
The Train & Earn (T&E) Program is a career pathways program for youth and young adults ages 16-24 that provides work readiness support, occupational skills training in the Medical Administrative field, and employment services, along with supportive services such as, paid internships, access to post-secondary education and sector-based credential training. The Vocational Skills Instructor provides contextualized instruction that will augment the overall program model and relate to working in a general business environment. The instructor is responsible for providing classroom instruction to prepare trainees to pass the National Health career Association’s (NHA), Certified Medical Administrative Assistant (CMAA), National Retail Federation (NRF), and Microsoft Office Suite (MOS) Exams. The instructor will also be responsible for conducting outreach, intake and assessment and case management and reporting. The person in this role will also be required to work across programs/sites as necessary. 

Essential Job Functions and Responsibilities:

  • Provide daily instruction for the Certified Medical Administrative Assistant exam, following the most up to date curriculum; update and augment curriculum as needed.
  • Maintain NHA’s approval of OBT as a testing site and proctor the CMAA exam.
  • Provide job readiness, counseling, and computer workshops.
  • Work with Program Director to manage trainees through the internship component of the MAA program.
  • Assist with recruitment and promotion to enroll trainees.
  • Facilitate program orientation sessions for eligible and suitable candidates with appropriate staff.
  • Conduct assessments with applicants to ensure both eligibility and suitability for the program using standard OBT and funder guidelines. Where appropriate, refer ineligible applicants to other programs and services.
  • Enforce all OBT trainee rules and guidelines consistent with standard OBT policies and procedures.
  • Maintain trainee case files containing class work, projects, tests for each trainee; accurately record case notes on a regular basis and enter data into the funder’s and OBT’s data management systems.
  • Provide instruction in basic computer applications, Microsoft Office Suite, and NRF.
  • Create and submit for approval an effective curriculum with lesson plans that address such areas as MS Word, MS Excel, and PowerPoint, and are geared toward passing the Microsoft Office Specialist (MOS) Certification.
  • Maintain adequate inventory of MOS and NRF test vouchers to assure immediate availability.
  • Provide ongoing feedback on each trainee’s progress and report on such progress to other program staff and administration.
  • Assist with any relevant reporting as required by contracts.
  • Perform all other appropriate duties as assigned by supervisor.

Knowledge, Skills and Abilities: 

  • Ability to meet program goals, quality classroom instruction, lesson planning, effective classroom management, and timely and accurate progress reporting.  
  • Ability to relate to and successfully counsel young adults 17-24 years of age from a variety of cultural/racial orientations with a range of issues that may prevent them from achieving educational and employment success. 
  • Ability to maintain case records and complete other reporting requirements in a timely and organized fashion. 
  • Ability to work as part of a team and be able to easily share relevant information with co-workers.  
  • Ability to handle conflict situations. 
  • Must display strong leadership skills, personal initiative and the ability to problem solve. 
  • Must possess excellent organizational and communication skills.

Education and Experience/Training: 

  • Minimum of Bachelor’s Degree and some experience working with disadvantaged population required.  
  • Knowledge of medical terminology and healthcare setting. 
  • Must be proficient in Microsoft Office (Word, Excel, Outlook). 
  • Knowledge of workforce development is helpful.
